Statement of Policy

The SUPERVISORY OFFICE FOR SECURITY AND INVESTIGATION AGENCYS (SOSIA) in its commitment to uphold, respect, and value data privacy rights, hereby adopts this Privacy Policy in compliance with the Data Privacy Act of 2012, its Implementing Rules and Regulations, and other relevant policies, including issuances of the National Privacy Commission. We will provide individuals a Personal Information Collection Statement in an appropriate format and manner whenever we collect personal data from them (i.e. in the application/registration form or web page that collects personal data, or in a notice posted at the venues designated by SOSIA that conduct collection of personal data ). All personal data collected from individuals shall be processed in adherence to the general principles of transparency, legitimate purpose, proportionality, and in a manner compliant with the requirements of the Data Privacy Act of 2012, its Implementing Rules and Regulations, and the issuances of the National Privacy Commission.

We collect the following personal information from you when you electronically submit to us your applications:

• Email Address
• Birthdate
• Gender
• Civil Status
• TIN Nr
• Mobile Nr
• Telephone Nr
• Next of Kin Full Name
• Next of Kin Mobile Nr
• Complete Residential Address
• Employment Type
• Firearm License Type
• Details Of Licens (e.g. Type, Date Issued, Expiration )
• Copy of Uploaded Documents (e.g. Gov’t issued Clearances/IDs, Proof of Income/Billing, Birth Certificate/Passport)

Use

The collected personal information is utilized by SOSIA for processing License, verification, data reporting to other agencies, and policy formulation pursuant to the legal mandate of the SOSIA. They enable the FEO to properly process the application, forward them to appropriate internal units for action and response, provide the requesting party with reliable information, and provide clients or complainants with appropriate updates and advisories in a legitimate format and in an orderly and timely manner.

Website Analytics

The FEO uses Google Analytics, a third-party service to analyze the web traffic data for us. This service use cookies. Data generated is not shared with any other party. Only non- identifiable web traffic data are analyzed, including:

• Your IP address
• The date and time you visited the site
• Geolocation
• Your operating system
• Web browser type

Protection Measures

SOSIA ensures that personal data under its custody are protected against any accidental or unlawful destruction, alteration and disclosure as well as against any other unlawful processing. SOSIA implements appropriate security measures in storing collected personal information. Only authorized SOSIA personnel has access to these personal information, the transaction of which will be facilitated online. All information gathered shall be retained for history, audit, and other purpose with adherence to law, public policy, public order or morals and only until the lawful and legitimate purpose of the processing is achieved. To that effect, we have established procedures for securely disposing files that contain personal data.

The Rights of Data Subjects

We fully recognize the following privacy rights of our data subjects:

• Right to be informed - Data subjects have the right to demand and be informed of the details about how and why we collect and process their personal.
• Right to object - They have the right to object to the sharing of their data.
• Right to withdraw consent anytime - They have the right to withdraw their consent to the processing of their personal data anytime subject to any lawful basis for which such data is processed other than by consent.
• Right to access - They have the right to have reasonable access to their personal data.
• Right to dispute/rectify - They have the right to review and amend their personal data as processed by the organization should there be any inaccuracies.
• Right to object/block/erase - They have the right to reject further processing of their personal data which are falsely collected or unlawfully processed.
